The Copy Manager stores all audio and creative assets used in broadcast orders. Open it via Traffic > Copy Manager. You can browse normal copy, rotators, packets and schedules, import audio, assign copy to order lines and print production scripts.
Before you start#
- You need a role with read access to Creative and its related members (Advertiser, Station, VoiceTalent).
- Creating or editing copy requires write permission on Creative.
- Importing audio requires write permission on ManagedFile and the copy attachment member.
- Printing compositions requires an active administrator account.
Browse and filter copy#
Sidebar controls#
The left sidebar provides:
- Find: search by column with literal case-insensitive substring matching and wraparound.
- Three sort keys: independent ascending/descending direction. Defaults are Label, Length, Copy ID.
- Account Rep tree: choose All, Unassigned or a specific representative. Changing representative clears incompatible customer selections.
Copy filter dialog#
Open Filter to choose:
- Type: Copy, Rotator, Packet, Schedule, or All.
- Status: Ok, Hold, Deleted. Default is Ok + Hold.
- Dates: All dates, Starting or Expiring within a From/Through range. Default is today through today+7.
Apply commits the filter; Cancel discards the draft. Refresh recaptures the list with current criteria.
Columns, design and print#
Use Columns and Browser Settings to customize the grid. Print PDF exports the filtered copy list with visible columns, widths and chosen page settings.
Create new copy#
Open the creation dialog#
In Copy Manager, choose New > Create (or use the order-line picker: Change > New > Create).
Choose kind and ownership#
Select Copy, Rotator, Packet or Schedule. For normal copy, choose the customer owner or enable Shared Copy (no owner). Rotator, packet and schedule items have their own item rules; see the composition section below.
Enter copy details#
- Copy ID / Label: the identifier and display name.
- Length: duration in hh:mm:ss format.
- Voice: select from the Voice Talent list.
- Status: Ok or Hold.
- Usable dates: Start and End dates. A null end date means until further notice.
- Co-Op Vendor and Script ID / ISCI / AD-ID.
- Copy Script and Production Instructions: multiline text fields.
Save#
Choose Save to commit the catalog record. Cancel discards the draft. Type cannot be changed after save; to switch types, duplicate or create a new copy.
Audio import (Find File / Attach File)#
You can attach a managed audio file to a saved normal copy.
Select the file#
In the copy editor, choose Find File. The local chooser accepts one WAV, MP3, Ogg, FLAC or M4A file up to 50 MB.
Validate the draft#
Selection creates a temporary in-memory draft. The file is validated for correct length, approved extension and signature match.
Attach#
Click Attach File to save the attachment immediately. The attachment is saved immediately and linked to the copy.
Cancel, navigation or changing copies discards an uncommitted upload draft. Replacing an attachment retains the earlier saved file. Play File decodes and plays the attached audio in the browser.
Shared copy ownership#
A Shared Copy has no customer owner and may serve multiple customers without a wrong-customer copy error.
- Enable Shared Copy in the copy editor. The editor rejects contradictory ownership (a shared copy with an assigned customer).
- The copy picker offers a Shared Copy option and an Unresolved-owner option.
- Scheduling warnings for shared copy are suppressed for the owner check; Hold, date and length warnings remain advisory.
Shared copy does not establish recording readiness, airing or billing.
Assign copy to an order line#
From the order-line editor, use Change next to the assigned copy to open the picker.
- Select Copy: choose an existing eligible copy filtered by sponsor, type and length.
- New / Create: create a copy immediately and return it to the line.
- Edit Copy: open the selected copy in a detail popup.
- Use Copy: assign the selected copy to the current line, macro item or composition item.
Creating or selecting a copy saves that independent catalog record. Cancelling the order-line edit does not delete the created copy.
Compositions (Rotator, Packet, Schedule)#
Composite copies group multiple items:
- Rotator: items rotate with a percentage allocation. The first Append defaults to 100%; subsequent Append defaults to 0%.
- Packet: items are grouped with weekday restrictions.
- Schedule: expiry-based sequence of items.
Use Print > Rotator List / Packet List / Schedule List or Print Contents to generate PDFs. These actions currently require an active administrator check and refuse if any member read is denied.
File operations#
From the copy editor or browser:
- Duplicate Copy: create a new copy with the same configuration but new identities.
- Rename Copy: change the Copy ID of an existing copy.
Both use separate secured transactions and refuse if the copy has pending changes or event references.
