Manage Neural Log Users, Roles and Financial Permissions

Administrator guide to Neural Log user accounts, the bootstrapped Administrators role, role assignment, deactivation and financial authority checks.

Neural Log uses role-based security. The Administrators role and a single Admin user are created when a group database is first initialized; every other role is configured by your site. This administrator guide explains how to open user management, create and deactivate users, and how roles affect financial operations.

Before you start#

  • You need a role that grants access to Setup > Administrator Controls > Users and Passwords. The bootstrapped Administrators role has full access.
  • Plan role names for your site (for example traffic, billing and receivables roles). Neural Log does not ship predefined staff roles.

Open Users and Passwords#

  1. In the top menu, choose Setup.
  2. Choose Administrator Controls > Users and Passwords.

The list shows existing user accounts. Framework role management appears under Security, which sorts after the original menus.

Bootstrapped administrator account#

At first initialization, Neural Log creates the Admin user (display name "Neural Log Administrator") with the Administrators role. The initial password is a value supplied by whoever initializes the installation, and initialization stops if none is supplied. It is never stored in documentation or source control. See Installation.

Create a user#

1

Start a new user#

On the Users and Passwords list, choose New.

2

Enter identity fields#

Enter the User Name used to sign in and a Display Name.

3

Assign roles#

In Roles, link one or more roles that match the person's work.

4

Activate and save#

Make sure Is Active is selected, then choose Save. Cancel discards the new user.

Set or reset the user's password according to your site's procedure and give it to the user securely.

Deactivate a user#

  1. Open the user record.
  2. Clear Is Active.
  3. Choose Save.

Inactive users cannot sign in. Financial operations re-check the user's active status and roles when they run, so a deactivated user's open screen cannot complete a financial posting.

Financial authority checks#

Neural Log re-reads saved authority at financial entry points instead of trusting what was loaded when a screen opened. Checks cover:

  • Reissue preview, retained receipt reads and posting.
  • Prepayment application lists, previews, receipts and posting.
  • Refund and credit-transfer receipts and posting.
  • Month-close preview, retained confirmation and posting.
  • Customer payment posting, bank deposit posting and deposit cancellation.

Financial panels opened from a record with unsaved edits are refused until those edits are saved or cancelled.

Plan roles by menu area#

Area Grant access to
Traffic Customer Accounts Browser, Broadcast Order Browser, Copy Manager and related editors
Logs Commercial Logs, Log Templates, scheduling, reconciliation and Charge Log
Billing Pending Broadcast Invoices, Invoice Records, trial and final issue
Accounts-Receivable Payment Records, Transaction Browser, Deposits, End-of-Month Closing
Setup Reference data, Program Options, Station Settings and Document Formats

If a user reports a missing menu item or action, check their role assignments first.
