After an invoice is issued, you may need to change prices during an open period, move a closed-period invoice to the current month through reissue, or review the complete correction history. This guide covers open-period revisions, closed-period reissues, read-only correction reviews, and how to recover safely if the browser loses the server response.
Before you start#
- You need an active administrator account with Billing access and invoice modification permissions (configured in Setup > Administrator Controls > Users and Passwords / Security).
- Reissue requires a completed month-end close. The reissue date must be after the inclusive closing cutoff and on or after every existing posting.
- Only existing item amounts and descriptions can be revised. Inserting, deleting, or mass-changing items is not supported in the current build.
Revise invoice prices in an open period#
Use Revise Invoice Prices when the accounting period is still open and you need to change an amount or description on an existing invoice line.
Open the issued invoice#
Go to Billing > Invoice Records, select the invoice, and choose View Invoice.
Start the revision#
Choose Revise Invoice Prices to open the revision editor.
Edit items#
Change the amount or description for the item you need to update. Invalid inputs are retained for correction until you fix them or discard edits.
Confirm and save#
Enter an explanation, check the confirmation box, and click Save Invoice Revision (or Save Package Invoice Revision for a package invoice). The system appends a numbered NIR document with a consecutive version and posts the difference entries.
<aside class="callout note" aria-label="Note"><div class="callout-label">Note</div><p>A description-only change saves a version without receivable entries. A request with no effective changes is rejected.</p></aside>
Print the revision#
Use Print This Invoice Version for the latest invoice, or Print Revision Receipt for the correction document. Choose View Revision from the history list to print earlier versions.
Reissue a closed-period invoice#
Reissue moves the original invoice's price and settlements to a replacement invoice in the current month. Old sales remain in the old month; current billing includes the replacement.
Open the issued invoice#
Go to Billing > Invoice Records, select the invoice, and choose View Invoice.
Start reissue#
Choose Reissue Invoice. The panel shows the original invoice, retained settlements, and a movement plan.
Select a reissue date#
Choose a date after the inclusive month-end cutoff and on or after every retained posting. Click Review Selected Date to refresh the plan.
Review movements#
Review the source releases and destination carries. The original ends at zero and the replacement carries the same remaining balance.
Confirm and save#
Enter a reason, confirm, and click Save Invoice Reissue. The system creates a replacement invoice with a new NL number and a reissue receipt (NRI).
Open or print the replacement#
Click Open Replacement Invoice to view the new open-period invoice. Use Print Replacement Invoice and Print Reissue Receipt to download documents.
Read-only correction review#
When the period is closed, invoices are read-only. The Review Invoice Correction action produces a projection that shows how the original invoice would be zeroed and what replacement entries would look like. This review does not post any data.
Open correction review#
From the issued invoice, choose Review Invoice Correction.
Set review date and refresh#
Change the review date if needed and click Refresh correction review. The panel shows original amounts, cash allocations, adjustments, applied credit, and balances.
Print the review#
Click Print Correction Review to generate a PDF. Closing or refreshing the dialog writes nothing to Accounts Receivable.
Recover from a lost response#
If the browser or network is interrupted after a save, do not re-enter the transaction manually.
Reopen the invoice#
Return to Billing > Invoice Records and reopen the invoice you were working on.
Load the pending receipt#
Use the same account and browser as the original submission. If the panel offers a pending receipt, load that original receipt. If no recovery option appears, establish whether the save completed before trying again.
Retry the exact request#
When the panel offers recovery, follow its prompt to retry the exact original request. The system returns the saved result if it already committed, or retries the post if it did not complete.
Save and cancel behavior#
- Cancel or Discard Edits and Refresh discards unsaved changes and reloads the saved data.
- Close exits the panel without posting.
- Save operations are atomic. If the transaction fails, all rows roll back and no new version or replacement is created.
