Issue broadcast invoices from pending drafts

Review pending invoice drafts, preview trial output, finalize a broadcast invoice, print or download it, and recover from a lost response.

When your station logs are charged and the billing period is complete, you can review pending drafts, print a trial invoice for verification, and then finalize the invoice to post receivables. This guide shows the exact steps from draft review through final issue and printed output, including how to recover safely if the browser loses the server response.

Before you start#

  • You need an active administrator account with Billing access and invoice issue permissions (configured in Setup > Administrator Controls > Users and Passwords / Security).
  • The log must be charged and the order must have a resolved billing cycle (Calendar Month, Broadcast Month, or Weekly). Unresolved cycles block trial printing and final issue.
  • Verify that every required date in the period has a charged log. See Log charging.

Review pending drafts and print a trial#

1

Open Pending Broadcast Invoices#

Choose Billing > Pending Broadcast Invoices. The list shows draft invoice groups created from charged logs.

2

Check log coverage#

Select the draft row and choose Check Log Coverage. Review the required dates, the latest charged station date, and any missing days. Click Close when finished; this writes nothing.

3

Preview the trial invoice#

With the draft selected, choose Trial Invoice. In the trial editor, review the airings, amounts, tax, credits, and totals. Click Print to generate a preview PDF. Close the trial when done; trial output never posts to Accounts Receivable.

Finalize the invoice#

1

Open the final review#

Select the draft and choose Finalize Invoice. The final review panel shows the retained invoice date, format, reason, and a summary of totals.

2

Confirm and issue#

Enter or confirm the required reason, check the confirmation box, and click Issue and Post Invoice. The system allocates a unique NL invoice number, retains the document and scripts, and posts initial receivables in a single serializable transaction.

After issue, the invoice moves to Billing > Invoice Records.

1

Open the issued invoice#

Go to Billing > Invoice Records, select the invoice, and choose View Invoice.

2

Choose Print Issued Invoice to download a PDF through an authenticated single-use link. If the invoice has a corrected version, Print Corrected Invoice is available instead.

Recover from a lost response#

If the browser loses the server response after you click Issue and Post Invoice, the invoice may already be issued and posted. Keep the original context. Don't refresh, re-create or re-enter the issue as a retry, and don't issue the same draft again from scratch.

You can open the invoice or draft to inspect it, but reopening does not by itself resume or retry the original request. Work with your administrator to establish whether the original issue was saved before taking any further issuing action.
